Full-Time Finishing Supervisor – Inkjet Department
JOB TITLE: Finishing Department Production – Inkjet Supervisor
REPORTS TO: Shift Manager
SUPERVISES: Group Leaders, Machine Operators, Material Handlers, & General Laborers
Span of Control: Sub-departments as assigned by the Shift Manager including but not restricted to: Folding, Cutting, Attaching, Imaging, Inserting, Die-Cutting, Shrink Wrapping.
Summary: At the direction of the Shift Manager (Manager); through direct action or by means of delegation the Production Shift Supervisor (Supervisor) is responsible for the performance of the operating areas of the Finishing Department to which he/she is assigned. The Supervisor is accountable for the following: Productivity, Quality/Accuracy, On-Time Performance, Personnel Allocation and Assignment (Permanent and Temporary), Employee Development (i.e.: Training, Motivation, etc.), Effective Communication with Superiors, Peers and Subordinates, Housekeeping and Safety.
Tasks associated with responsibilities:
- Monitor schedule and maintain communications with Manager, via established procedures, to assure, to the maximum degree possible, on time delivery of finished product.
- Adjust production priorities as required by schedule or Management directive.
- Monitor and update job tickets to reflect most current revisions.
- Monitor and adjust staffing of production equipment to best utilize available talent to achieve maximum productivity.
- Review job tickets daily to assure all revisions and updates are being performed.
- Communicate job status as to quantities completed, problems encountered/resolutions applied (i.e.: Rework), personnel/staffing issues, and any information relevant to the management of the job.
- Utilizing available resources and personnel; train production employees in job responsibilities, expected performance, use of production equipment, production tasks and procedures, safety guidelines, as well as company rules and policies.
- Assure correct ink jet files are loaded on appropriate machines. If machine already running, verify ink jet file is correct. Download correct files if necessary.
- On “non-routine” jobs: Review requirements with all relevant personnel (i.e.: Group Leaders, Quality Control Personnel, Technicians, and Machine Crews). Issue appropriate directives verbally and/or with written instructions.
- Assure all packaging requirements for jobs are met per customer specifications.
- Where finished product is to mail, assure all regulations and requirements of USPS are met.
- Monitor and approve all sample production.
- In conjunction with Quality Control personnel, monitor and maintain quality and accuracy of finished product to customer specifications. Make adjustments where necessary and advise Quality Control personnel of barriers to resolution of quality problems.
- Review, approve and sign Quality Control time pulls.
- When assigned to “Clean Room,” assure all rules, policies and procedures are followed and restrict access to authorized persons only.
- When assigned to “Cutters” check “rule-up” sheets and cutting samples to assure proper set-up of cutters and accurate production of job per specification.
- Provide feedback, on a consistent basis, to employees under direct report on performance and progress. Praise, coach, or discipline as appropriate. Advise and counsel Manager when workforce adjustments should be made (i.e.: discipline, demotion, termination, etc.). Document for personnel records as necessary per Company rules and procedures.
- Assure adequate resources (i.e.: postal tray tags, supplies, equipment, etc.) are available in sufficient quantities to maximize production and prevent unproductive use of time (downtime).
- When assigned, order supplies from USPS per standing procedures.
- When assigned, communicate temporary personnel needs for subsequent shifts to applicable vendors.
- When assigned to Imaging, act as hands on support with set-ups and troubleshooting.
- Communicate with manager/supervisors of related departments to assure proper flow of materials from one operating area to another.
- When time and space allows, stage materials, supplies, postal materials, etc. for jobs that are “next in line.”
- Maintain a safe environment for department employees and peripheral employees by following and enforcing safety guidelines. Ensure all employees (permanent or temporary) follow safety processes and procedures.
- Maintain housekeeping at all times.
- If so delegated by the Manager, approve jobs that start on the shift.
- Record accurate production information (data) on processes performed on assigned shift in the manner provided by the company. Data should be delineated by job number, machine utilized and crew assigned to machine.
- Contain costs by monitoring waste of company resources (e.g.: supplies, equipment and personnel idle time) as well as customer product.
- Complete assignments not listed as delegated by the Manager.
